Hospitality Manger

Concord, NC, USA Full Time

The Hospitality Manager is responsible for strategizing, coordinating, and executing premium experiences for corporate partners, VIP guests, and internal stakeholders within the Trackhouse NASCAR event schedule and various curated partner events. This role ensures that all hospitality operations, both at race events and corporate functions, represent the “Trackhouse Standard of Excellence,” enhance relationships, and deliver memorable, high-quality experiences.

Duties and Responsibilities

  • Spearhead execution and strategy surrounding unprecedented VIP guest hosting at Trackhouse haulers at-track
  • Find efficiencies and develop the at-track guest communication process – whether through app curation, technological advances, or simply evolving communication style
  • Play a key role in the evolution of the Trackhouse hospitality department by driving continuous improvement initiatives, researching, and developing innovative guest experience solutions, and identifying opportunities to enhance processes, efficiency, and overall hospitality execution
  • Plan and execute race weekend “Trackhouse Owned” hospitality programs, including suite management, suite branding, catering, guest services, and hospitality logistics
  • Serve as a point of contact for corporate partners and VIP guests during Trackhouse hosted events
  • Coordinate cross-functionally with marketing, partnerships, and operations teams to align hospitality experiences with business objectives
  • Assist in compiling information for weekly, quarterly, and annual partner reports
  • Manage vendor relationships, including catering, rentals, transportation, and event staffing
  • Deeply understand each of our partners down to the most intricate details: what is their favorite drink, what is their spouse’s name, what are their kids’ names, birthdays, education, etc.
  • Oversee setup and breakdown of hospitality areas at racetracks, ensuring compliance with NASCAR and venue regulations
  • With support of Sr. Mgr. Strategic Experiences, take ownership in the planning and execution of all Trackhouse in-house hospitality efforts, including win celebrations, company meals, Trackhouse Tuesdays, partner-hosted events, Trackhouse Fan Day, and any new in-house initiatives as Trackhouse’s experiential portfolio grows
  • Develop and manage hospitality budgets, track expenses, and ensure cost-effective execution with final signoff on budgets from department leadership
  • Create detailed event timelines, guest itineraries, and briefing materials
  • Ensure exceptional customer service and handle guest inquiries or issues in a professional manner
  • Evaluate post-event performance and gather feedback to continuously improve hospitality offerings

Qualifications

  • Bachelor’s/master’s degree in hospitality, marketing, or related field
  • 1-3 years of experience in hospitality / event curation required
  • Partnership marketing and/or motorsports experience preferred
  • Ability to work flexible hours, including weekends and travel extensively during race season
  • Superior verbal and written communication skills, ability to articulate well
  • Positive attitude, high energy level with a commitment to success
  • Thoughtfulness, professionalism, drive, maturity, self-motivation, and the ability to function as a member of the team
  • Track record of building relationships with clients, executives, colleagues
  • Ability to remain calm in pressure situations and maintain a customer-service mindset

Travel Requirements + Working Conditions

  • Position will require significant travel (including at least 20-25 race weekends and occasional business/event-related travel)
  • Ability to work outdoors in the elements and inside office environments
  • Capability to lift and move event materials up to 25lbs
